MyClientDiary manages the 3 essential components of your business. Your clients or customers, your appointments with them, and how they pay you for your services. Having a business should not mean that you have to be a computer technician, so we manage (almost) everthing for you - we set up your system, we manage it, we make back-ups of all your data, we keep it all private and secure, and we give you and your business ongoing support and product improvements.

How it works

You have your own private database and set of software which no-one else has access to, and they are safely stored on secure external servers. You just connect from the internet, much like you have done now, except that you need a password and username (just like your internet banking). All you need is a computer and (preferably) a broadband internet connection, no fancy networks, nothing else to buy or maintain. You print directly from your own computer ( you will of course need a printer) and if you need data to load into your accounting program (eg Qicken, MYOB) you just click on the appropriate buttons and the data is emailed to you. As long as you don't give others your username and password we believe your system is as secure, or more secure than a system residing on your office computer server. In our system, of course, you and your colleagues can access this multi-use system from anywhere at anytime, no matter how far from your office you are.

Set-up costs

There is a small set up cost. We will set you up to start using our standard system for a standard fee plus the first three month subscription to MyClientDiary.


Security

Your data is stored on its own relational database behind a firewall (computer hardware and software which prevents unauthorised access) and can only be accessed by our software from our servers with matching user name and password. All passwords are stored encrypted and are encrypted between your machine and our servers. Your data and our software are not stored in the same directories and are usually on different machines. While we cannot guarentee that it is impossible to breach our security (even the Pentagon has been vulnerable to concerted attacks) we feel that your data is as secure, in fact probably more secure, than if it was on a computer in your office. Your biggest security issue is likely to be staff leaving unnatended computers logged on and/or leaving passwords written down near their computers.

Availability and Physical Security

We use 3rd party professional server and internet bureaus. The servers are kept in physically secure buildings with back up battery power and emergency generators. Multiple (load shared) internet links are used for these computers as well as sophisticated firewalls, RAID disks (to guard against disk failure), redundant power supplies and multiple load sharing computers.

Back-up

We make a complete back up your data at least 3 times per week. This is in addition to disaster recovery back-ups made of our servers.

How big can my data be?

Our standard system will allow you to store up to 10,000 clients and 200,000 transactions before we may ask you to archive some data or pay a small extra fee to increase your storage allocation.

What equipment/software do I need?

You need a computer connected to the internet (preferably a fast connection - like broadband) and Microsoft Internet Explorer v6.0 (this is the common way to connect to the internet using a PC and Microsoft operating system). Sorry but at the moment our screens may not look normal on other browsers.
